Roster Verification Policy

Verification of class attendance is required to meet compliance with federal regulations. The faculty of record will receive a system generated email requesting verification of all students on the roster with a link to steps for roster verification and a deadline. See the

Grade Entry

Grades must be submitted within 48 of the final exam for traditional undergraduate courses and within 5 days of the last class meeting from graduate and professional studies courses. Please note: At the time of Commencement, grades for graduating students are due the Wednesday of the week before Commencement. Grades are submitted through MyEndicott. See the Faculty Guide powerpoint for details as an additional resource. After the grading period has closed, the online Grade Entry in MyEndicott will also close. You will need to log into Etrieve (see instructions below) and process a “Change of Grade'' form for each ungraded student in your class roster.

Incomplete Grades

A student may discuss the possibility of an incomplete in a course as a result of illness or other extenuating life circumstances. However, he or she must have completed all but the last one-fifth of the semester and must be in good academic standing in the class. The faculty retains the right to decide whether or not an incomplete is appropriate based on the student’s performance in the class and the nature of the missing assignments. If an incomplete is granted, the faculty will complete the online Incomplete Grade Form, which serves as a contract between both parties and which the faculty will submit to the registrar. The student must complete all missing work in accordance with the agreed upon timeline recorded on the form but no later than seven weeks after the last date of the class for graduate and professional studies programs, or by the second week of classes in the subsequent fall or spring semester for traditional undergraduate programs. Failure to submit assignments by the specified deadline will result in a failing grade for the course. If faculty do not submit a Change of Grade form, the Incomplete grade will result in an F automatically. See the Faculty Guide powerpoint for details as an additional resource.

Grade Changes

Grades cannot be changed after one year of receiving the grade in the course or after the conferral date of the degree, whichever comes first. In order to process grade changes that occur more than one full semester after the submission of the original grade, faculty must complete the Grade Change Form available through Etrieve. Etrieve is our browser-based, management system for electronic forms and documents, accessible through multiple devices and ADA compliant. To submit a form Follow this link etcentral.endicott.edu and sign in using your Endicott email and password.

FERPA

The College protects the privacy of students in compliance with the Federal Family Educational Rights and Privacy Act of 1974 (FERPA).

Student information protected by FERPA: Social Security Number, Student ID, Race or Ethnicity, Religion, Citizenship, Gender, Grades Received, Grade Point Average.

FERPA Guidelines and Best Practice

1. Use Endicott College issued email account when communicating with students
2. Do not include student ID number on subject of the e-mail; include on body of email instead
3. When submitting an attachment, do not use a telephone picture. The information protected by FERPA is now stored on your phone, carrier server, etc. Use school scanners instead.
4. Do not email student grades to a group of students; e-mail individual grade to each student instead
